Data Retention and Deletion Policies
SaaSi Hub follows structured data retention policies designed to balance the operational requirements of providing the platform with applicable data protection principles. Different types of information are retained for different periods, depending on why the information is required and whether there are legal or regulatory requirements to keep it.
What Data Does SaaSi Hub Retain?
Depending on how you use SaaSi Hub, information stored or processed may include:
- User account information
- Company and organisation details
- Employee names and company email addresses
- Platform usage and analytics data
- SaaS integration and licence information
- Subscription pricing and renewal information
- Billing and transaction records
- Customer support communications
Information is retained only for as long as necessary to provide the service or meet applicable legal and regulatory obligations.
How Long Is Data Retained?
Different categories of information have different retention periods.
Account Data
Account data is retained while your subscription is active and for a limited period of up to 12 months after your subscription ends, where required for operational or legal purposes.
Billing Data
Billing and transaction records may be retained for up to 7 years to meet tax, accounting and regulatory requirements.
Customer Correspondence Data
Customer support correspondence is retained while your subscription is active and for up to 24 months afterwards, where required for service improvement and dispute resolution.
Technical Data
Technical logs and platform monitoring data may also be retained while your subscription is active and for up to 24 months afterwards, where required for security, incident investigation and platform performance.
Retention periods are reviewed periodically to help ensure information is not kept for longer than necessary.
What Happens When I Cancel My Subscription?
If you end your subscription and do not intend to renew, your account can remain available for up to 12 months following the end of your subscription. After this dormant period, access to the SaaSi Hub platform is disabled and the associated account data is scheduled for deletion from active systems.
We recommend exporting any reports or information you need before your subscription ends, rather than relying on continued access during the dormant period.
Can I Request My Data to Be Deleted?
Yes. Under applicable data protection laws, an account holder can request deletion of data relating to themselves and their business. Requests can be submitted through our support or contact channels. SaaSi Hub will review valid requests and respond within the timeframes required by applicable data protection regulations.
Some information may need to be retained where there is a legal requirement to do so, such as billing records required for tax and accounting purposes.
Important: A completed ‘Right to Erasure’ request is permanent and cannot be reversed. Once completed, the relevant data and integrations will be permanently deleted.
What Happens to Deleted Data in Backups?
SaaSi Hub maintains encrypted backups for security and disaster recovery purposes. Backup systems are overwritten on a rolling basis, which means information that has been deleted from active systems may remain temporarily within backup archives until those backups expire. Backup data is not used for normal operational processing and is retained solely for recovery purposes.
What About Connected SaaS Applications?
SaaSi Hub may store information retrieved from connected third-party SaaS platforms where it is required to provide the service. Deleting information from SaaSi Hub does not automatically delete the corresponding information from the original third-party application. Customers remain responsible for managing their data within those external services.
In Summary
SaaSi Hub uses different retention periods depending on the type and purpose of the information being stored. Account data is generally retained for up to 12 months after subscription termination, while certain billing, support and technical records may be retained for longer where operational or legal requirements apply.
Customers can also request deletion of their data where applicable, subject to information that SaaSi Hub is legally required or otherwise permitted to retain.
