Introduction
These Terms and Conditions govern the use of the SaaSi Hub website, platform, and related services. By creating an account, accessing the platform, or using any SaaSi Hub services, you agree to be bound by these Terms.
If you do not agree to these Terms, you must not use the SaaSi Hub platform.
1. Definitions
For the purposes of these Terms:
“We”, “Us”, “Our”, “SaaSi Hub”, refer to SaaSi Hub LLC at https://www.saasihub.com
Platform refers to the SaaSi Hub software platform, dashboards, and related services.
Service refers to the functionality provided through the SaaSi Hub platform including SaaS monitoring, analytics, license tracking, and reporting.
Customer refers to the client, organisation or business entity that creates an account to use the SaaSi Hub platform.
User refers to any authorised individual accessing the platform on behalf of a Customer.
Account refers to the registered account used to access the SaaSi Hub platform.
Subscription refers to the paid plan that provides access to the SaaSi Hub platform.
Customer Data refers to any data, information, or content provided, uploaded, or synchronised by the Customer through integrations or platform use.
2. Eligibility
The SaaSi Hub platform is intended for use by businesses and organisations. By creating an account, you confirm that:
- you are authorised to act on behalf of the organisation registering the account
- the information provided during registration is accurate
- you have the authority to accept these Terms on behalf of the organisation
SaaSi Hub does not permit the creation of accounts by individuals acting solely in a personal capacity.
3. Account Registration
To access the platform, a Customer must create an account and provide certain information including a company name and contact details.
Customers agree to:
- maintain accurate account information
- keep login credentials secure
- notify SaaSi Hub of any unauthorised access
Customers are responsible for all activity conducted under their account.
4. Managed Service Providers
4.1 Use of the Platform by Managed Service Providers
SaaSi Hub may permit Managed Service Providers (MSPs), consultants, or third party administrators to use the platform on behalf of their clients.
Where an MSP uses the SaaSi Hub platform to manage services for a client organisation, the MSP represents and warrants that it has obtained all necessary permissions and authority from the client organisation to:
- create or manage accounts on their behalf
- connect integrations to third party software systems
- access data necessary to operate the SaaSi Hub platform
The MSP remains responsible for ensuring that its use of the platform complies with these Terms and all applicable laws.
MSPs must ensure that each client organisation managed through the platform complies with the applicable subscription limits and plan requirements.
SaaSi Hub does not verify the authority of MSPs to act on behalf of client organisations and shall not be responsible for disputes between MSPs and their clients.
4.2 Client Account Responsibility
Where the platform is used by an MSP on behalf of a client organisation, the MSP account holder remains responsible for all activity conducted through the account, including integrations, data access, and subscription management.
4.3 Client Agreements
Any agreements or contractual arrangements between an MSP and its clients are independent of these Terms. SaaSi Hub is not responsible for services provided by MSPs to their clients or for disputes arising between MSPs and their clients.
4.4 Separation of Client Data
Where a Managed Service Provider uses the SaaSi Hub platform to manage multiple client organisations, the MSP must ensure that data belonging to one client organisation is not disclosed, transferred, or made accessible to another client organisation without appropriate authorisation.
MSPs are responsible for maintaining appropriate operational and administrative controls to ensure the separation and confidentiality of client data.
SaaSi Hub is not responsible for any disclosure of information that occurs as a result of actions taken by an MSP or its authorised users.
5. Use of the Platform
SaaSi Hub grants Customers a limited, non-exclusive, non-transferable licence to access and use the platform during an active subscription period.
Customers agree not to:
- reverse engineer or attempt to extract source code from the platform
- copy, reproduce, or redistribute platform functionality
- interfere with platform security mechanisms
- use the platform for unlawful activities
SaaSi Hub reserves the right to suspend access if the platform is used in violation of these Terms.
6. Platform Functionality
6.1 Platform Functionality
SaaSi Hub provides tools designed to help organisations monitor and analyse their SaaS usage, including:
- identifying active SaaS licences
- detecting unused or unnecessary subscriptions
- generating analytics and reporting insights
- supporting employee offboarding processes
While SaaSi Hub aims to provide accurate insights, the platform relies on data provided by integrations and external systems. SaaSi Hub does not guarantee the completeness or accuracy of data retrieved from third party services.
6.2 Monitoring and Detection Limitations
The SaaSi Hub platform provides tools designed to help organisations monitor SaaS usage, identify active licences, and detect potential optimisation opportunities, including licences associated with employees who may have left an organisation.
These insights are generated using data retrieved from connected integrations and third party services. The accuracy and completeness of such insights depend on the availability, accuracy, and timeliness of data provided by those external systems.
SaaSi Hub does not guarantee that the platform will detect all unused licences, inactive subscriptions, or employee status changes. Customers remain responsible for reviewing platform insights and managing their organisation’s SaaS subscriptions and access controls.
SaaSi Hub is a monitoring and analytics tool. The platform does not automatically cancel, downgrade, or revoke third-party software licenses. Customers are solely responsible for manually executing any subscription changes directly within their third-party provider’s systems.
The platform is intended to assist with SaaS management processes and should not be relied upon as the sole method of identifying licence usage, employee status, or subscription management actions.
6.3 Automated Support Tools
SaaSi Hub may provide automated support features, including AI assisted chat tools, to help users access information and obtain guidance when using the platform.
Responses generated through automated systems are provided for general informational purposes only and may not always be complete or accurate. Automated responses should not be relied upon as professional, legal, financial, or technical advice.
Where appropriate, users may contact SaaSi Hub support directly for further assistance.
SaaSi Hub does not guarantee the accuracy or reliability of responses generated through automated support tools.
7. Analytics, Reporting, and Integrations
7.1 Analytics and Reporting Disclaimer
The SaaSi Hub platform provides analytics, insights, and reporting tools designed to help organisations understand their SaaS usage and potential optimisation opportunities.
While SaaSi Hub aims to provide accurate information based on data retrieved from connected systems, the platform relies on data provided by third party services and integrations. SaaSi Hub does not guarantee the completeness, accuracy, or reliability of such data.
Reports, analytics, and cost estimates generated by the platform are provided for informational purposes only and should not be relied upon as the sole basis for financial, operational, or business decisions.
7.2 Integrations and Third Party Services
The platform may connect to third party software applications through integrations.
By connecting integrations, Customers authorise SaaSi Hub to access certain data from those systems for the purpose of providing platform functionality.
Customers acknowledge that:
- integrations rely on external services that are not controlled by SaaSi Hub
- changes to third party APIs or services may affect functionality
- SaaSi Hub is not responsible for the availability of external platforms
Customers must ensure they have appropriate permission to connect third party systems.
7.3 Third Party Services and Integrations
The SaaSi Hub platform may integrate with third party software services and platforms in order to provide monitoring, analytics, and reporting functionality.
Customers acknowledge that these integrations rely on systems, APIs, and services that are operated by third parties and are not controlled by SaaSi Hub.
SaaSi Hub does not guarantee the continued availability, compatibility, or functionality of any third party integration. Third party providers may modify, restrict, suspend, or discontinue their services or APIs at any time.
If a third party service changes in a way that affects the functionality of an integration, SaaSi Hub will make reasonable efforts to restore compatibility where possible. However, SaaSi Hub shall not be responsible for interruptions, loss of functionality, or limitations caused by changes to third party services.
Customers remain responsible for complying with the terms and policies of any third party services connected to the platform.
8. Customer Data Responsibilities
8.1 Customer Data Responsibilities
Customers are solely responsible for all data, information, and content that they provide, upload, or synchronise with the SaaSi Hub platform, including data retrieved through third party integrations.
By using the platform, the Customer represents and warrants that:
- they have the legal right and authority to provide the data to SaaSi Hub
- the processing of such data through the platform complies with all applicable laws and regulations
- appropriate notices have been provided to individuals where required under applicable data protection laws
- the data does not infringe the rights of any third party
Customers are responsible for ensuring that their use of the platform and any data processed through integrations complies with applicable privacy, employment, and data protection laws within their jurisdiction.
SaaSi Hub does not control the content of Customer Data and is not responsible for verifying the legality, accuracy, or ownership of any data provided by Customers.
SaaSi Hub acts as a data processor for Customer Data processed through the platform, as described in the SaaSi Hub Data Processing Addendum.
Where a Customer uses the platform as a managed service provider or third party administrator, the Customer confirms that it has obtained appropriate authorisation from the relevant client organisation to provide and process such data.
8.2 Employee Data
The Service is designed for business use. The Customer agrees to provide employee data only in a professional or organisational context, including the use of work-issued email addresses.
The Customer must not upload personal email addresses or personal contact information unless they have a valid lawful basis and/or consent to do so, in accordance with applicable data protection laws.
The Customer warrants that it has all necessary rights, permissions, and legal bases to provide such data and to permit its processing by SaaSi Hub.
SaaSi Hub reserves the right to remove or restrict access to data that does not comply with these requirements.
8.3 Customer Responsibility for Integrations
The SaaSi Hub platform allows Customers to connect third party software services and integrations. By connecting any third party service to the platform, the Customer confirms that they have the necessary authority and permissions to grant SaaSi Hub access to the relevant data within those systems.
Customers are solely responsible for ensuring that the connection of integrations complies with their organisation’s internal policies, contractual obligations, and applicable laws.
SaaSi Hub is not responsible for verifying whether a Customer has appropriate authority to connect third party services.
9. Customer Data
9.1 Customer Data
Customers retain ownership of all Customer Data provided or synchronised through the platform.
SaaSi Hub processes Customer Data solely to provide and operate the platform.
Customers are responsible for ensuring that:
- they have the legal right to provide the data
- the data complies with applicable laws
- appropriate notices have been provided to individuals where required
Where SaaSi Hub processes personal data on behalf of a Customer, the SaaSi Hub Data Processing Addendum applies.
9.2 Customer Data Security and Compliance
Customers are responsible for ensuring that any data, information, or content provided to or processed through the SaaSi Hub platform is lawful, accurate, and does not violate the rights of any third party.
Customers must not use the platform to upload, transmit, or process data that:
- is unlawful, fraudulent, or misleading
- infringes intellectual property or privacy rights
- contains malicious code, malware, or harmful content
- violates applicable data protection or employment laws
Customers are responsible for implementing appropriate internal policies and security measures when connecting integrations and managing user access within their organisation.
If SaaSi Hub reasonably believes that Customer Data or usage of the platform may pose a security risk, violate applicable laws, or infringe the rights of others, SaaSi Hub reserves the right to take appropriate action, including restricting access to affected features or suspending the account while the issue is investigated.
10. Subscription Plans, Billing and Cancellation
10.1 Subscription Plans and Billing
Access to the platform is provided through subscription plans.
Subscription plans may include limits based on the number of employees monitored by the platform.
Customers agree to:
- pay all subscription fees applicable to their plan, including any applicable taxes
- provide valid billing information
- ensure payment details remain current
Subscription fees are billed in advance according to the billing cycle selected during signup.
All payments are processed securely through third party payment providers. SaaSi Hub does not store full payment card details.
10.2 Cancellation
Customers may cancel their SaaSi Hub subscription at any time through the billing or subscription page within their account.
10.3 14 (Fourteen) Day Cooling Off Period
For both monthly and annual subscription plans, customers are entitled to a 14 (fourteen) day cooling off periodstarting from the date the Customer first activates a paid subscription.
If a cancellation request is made within this 14 day period, the customer may request a full refund of the subscription payment. Upon cancellation, access to the SaaSi Hub platform may be terminated immediately.
10.4 Cancellation After the Cooling Off Period
After the initial 14 day cooling off period has passed, customers may cancel their subscription at any time. However, the subscription will remain active until the end of the current billing period.
No refunds or partial refunds will be provided for any unused portion of the subscription period once the cooling off period has expired.
For example, if a customer cancels midway through a monthly or annual billing cycle, the customer will retain access to the SaaSi Hub platform until the end of the billing period that has already been paid for.
At the end of the billing period, the subscription will not renew and access to the SaaSi Hub platform will be discontinued.
10.5 Payment Disputes and Chargebacks
Customers agree to contact SaaSi Hub support to resolve any billing questions or concerns before initiating a payment dispute or chargeback with their payment provider. SaaSi Hub will make reasonable efforts to review and resolve billing enquiries in a timely manner.
Initiating a chargeback or payment dispute without first contacting SaaSi Hub may result in temporary suspension or termination of access to the SaaSi Hub platform while the matter is investigated.
10.6 Failure to Cancel Before Renewal
It is the customer’s responsibility to cancel their subscription before the next billing date if they do not wish to renew their subscription.
Where a subscription renews automatically in accordance with the agreed billing cycle, the renewal charge will be considered authorised and non-refundable except where required by applicable law or where cancellation falls within the applicable cooling off period.
10.7 Automatic Renewal
All SaaSi Hub subscriptions renew automatically at the end of the applicable billing period using the payment method on file through our payment provider (monthly or annually), unless cancelled by the Customer prior to the renewal date.
By subscribing to the SaaSi Hub platform, the Customer authorises SaaSi Hub to automatically charge the applicable subscription fees using the payment method on file at the start of each renewal period.
Customers will retain access to the SaaSi Hub platform for the duration of the billing period that has been paid for. If a subscription is cancelled after a renewal payment has been processed, the subscription will remain active until the end of the current billing period and will not renew again.
Except where required by applicable law or where cancellation occurs within the applicable cooling off period, renewal payments are non-refundable.
11. Changes to Pricing
SaaSi Hub may update subscription pricing from time to time.
Customers will be notified of any pricing changes prior to renewal. Continued use of the platform after renewal constitutes acceptance of the updated pricing.
12. Free Trial Offers
SaaSi Hub may offer a limited duration free trial to new Customers.
During the trial period:
- access may be restricted to selected platform features
- the trial may expire automatically after the specified period
Free trials are intended solely for the purpose of allowing prospective customers to assess the functionality and suitability of the SaaSi Hub platform.
Each organisation is generally limited to one free trial unless otherwise approved by SaaSi Hub. SaaSi Hub reserves the right to refuse, limit, or cancel free trial access where it reasonably believes that a customer or organisation is attempting to create multiple accounts in order to obtain additional trial periods.
SaaSi Hub may also suspend or terminate trial access where misuse, abuse, or fraudulent activity is suspected.
SaaSi Hub reserves the right to modify or discontinue trial offerings at any time.
13. Service Availability
SaaSi Hub aims to provide reliable and secure platform access.
However, the platform is provided on a reasonable efforts basis and may be subject to:
- maintenance periods
- technical interruptions
- infrastructure outages
SaaSi Hub does not guarantee uninterrupted service availability. The service is provided without a formal Service Level Agreement unless otherwise specified in a custom enterprise contract.
14. Customer Usage
14.1 Acceptable Use
Customers agree not to use the platform to:
- engage in unlawful activities
- attempt to access systems without authorisation
- distribute malicious software
- interfere with platform operations
- misuse automated support systems or attempt to exploit them through automated queries, scraping, or abusive behaviour
Violation of these provisions may result in account suspension or termination.
14.2 Platform Integrity and Restrictions
Customers and Users agree not to access or use the SaaSi Hub platform in any manner that could damage, disable, overburden, or impair the service or interfere with any other user’s access to the platform.
Customers and Users must not:
- use automated scripts, bots, crawlers, or scraping tools to extract data from the platform without prior written permission
- attempt to replicate, reproduce, or build a competing product using information obtained from the platform
- reverse engineer, decompile, or attempt to discover the underlying source code or algorithms used by the platform
- attempt to bypass or circumvent platform security measures or access controls
- probe, scan, or test the vulnerability of the platform or any associated systems without authorisation
Any attempt to misuse or interfere with the platform may result in suspension or termination of access.
14.3 Fair Use and Platform Resource Usage
The SaaSi Hub platform is designed to operate efficiently for all Customers. Customers agree to use the platform in a reasonable and responsible manner that does not negatively impact the performance or availability of the service for other users.
Customers must not use the platform in a way that generates excessive or unreasonable system load, including but not limited to:
- repeatedly triggering manual synchronisation requests beyond intended platform functionality
- using automated tools or scripts to repeatedly query or interact with the platform
- attempting to circumvent plan limitations or platform safeguards
- connecting integrations in a manner intended to overload or disrupt platform operations
SaaSi Hub reserves the right to temporarily limit functionality, suspend certain features, or take other reasonable measures where system usage is determined to be excessive or harmful to platform stability.
Where possible, SaaSi Hub will notify Customers if their usage is affecting system performance and work with them to resolve the issue.
14.4 Export Compliance
Customers agree not to use the SaaSi Hub platform in violation of United States export control or sanctions laws. Customers represent that they are not located in, under the control of, or a resident of any country subject to US trade sanctions.
15. Suspension and Termination
SaaSi Hub may suspend or terminate accounts where:
- these Terms are violated
- payment obligations are not met
- misuse of the platform occurs
Customers may cancel their subscription at any time through their account settings or by contacting support.
Termination does not relieve Customers of outstanding payment obligations.
16. Intellectual Property
All rights, title, and interest in the SaaSi Hub platform, including software, design, branding, and technology, remain the exclusive property of SaaSi Hub.
These Terms do not grant Customers ownership rights in the platform.
Customers retain ownership of their own data.
17. Data Protection
SaaSi Hub processes personal data in accordance with its Privacy Policy.
Where SaaSi Hub processes personal data on behalf of a Customer, the SaaSi Hub Data Processing Addendum forms part of these Terms.
Customers remain responsible for ensuring that their use of the platform complies with applicable data protection laws.
18. Confidentiality
Each party agrees to treat as confidential all non-public information disclosed by the other party in connection with the use of the SaaSi Hub platform (“Confidential Information”).
Confidential Information may include, but is not limited to:
- business operations and processes
- employee and organisational data
- financial information and SaaS expenditure
- software usage, integrations, and system configurations
- technical, commercial, or strategic information
Each party agrees that it will:
- use Confidential Information solely for the purpose of providing or using the SaaSi Hub platform
- not disclose Confidential Information to any third party without prior written consent, except where required to provide the services or as required by law
- take reasonable measures to protect the confidentiality and security of such information
Confidential Information does not include information that:
- is or becomes publicly available through no fault of the receiving party
- was lawfully known to the receiving party prior to disclosure
- is independently developed without use of or reference to the Confidential Information
- is lawfully obtained from a third party without restriction
SaaSi Hub may disclose Confidential Information to its employees, contractors, and subprocessors where necessary to provide the platform, provided that such parties are subject to appropriate confidentiality obligations.
This obligation of confidentiality shall survive termination of the Customer’s use of the SaaSi Hub platform.
19. Limitation of Liability
To the maximum extent permitted by law, SaaSi Hub shall not be liable for:
- indirect or consequential losses
- loss of business or revenue
- loss of data
- interruptions caused by third party services
SaaSi Hub’s total liability for any claim relating to the service shall not exceed the total subscription fees paid by the Customer during the preceding twelve months.
The limitations set out in this section shall apply to the fullest extent permitted by applicable law.
20. Disclaimer of Warranties
The platform is provided on an “as available” and “as is” basis.
SaaSi Hub does not guarantee that:
- the platform will operate without interruption
- insights generated by the platform will be error free
- integrations will remain permanently available
21. Indemnification
Customers agree to indemnify and hold harmless SaaSi Hub against claims arising from:
- misuse of the platform
- violation of applicable laws
- infringement caused by Customer Data
22. Survival
Any provisions of these Terms which by their nature should survive termination shall remain in effect after termination of the agreement, including but not limited to provisions relating to intellectual property, limitation of liability, indemnification, and dispute resolution.
23. Changes to the Platform
23.1 Changes to the Platform
SaaSi Hub may update, modify, or improve the platform from time to time.
This may include adding or removing features or making changes necessary for operational or security reasons.
23.2 Product Updates and Feature Changes
SaaSi Hub continually improves and develops the platform in order to enhance functionality, performance, and security.
As part of this process, SaaSi Hub may from time to time modify, update, add, or remove features of the platform. These changes may include updates to the user interface, analytics capabilities, integrations, reporting tools, or other platform functionality.
SaaSi Hub does not guarantee that any specific feature, integration, or functionality will remain available indefinitely.
Any descriptions of potential future features, planned updates, or product improvements that may be communicated through the website, marketing materials, demonstrations, or customer discussions are provided for informational purposes only and do not constitute a binding commitment to deliver those features.
Customers acknowledge that purchasing decisions should not be based on the expectation of future functionality that has not yet been released.
24. Force Majeure
SaaSi Hub shall not be liable for any failure or delay in performance resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, internet service disruptions, cyber attacks, governmental actions, labour disputes, or failures of third party infrastructure providers.
25. Changes to These Terms
SaaSi Hub may update these Terms from time to time to reflect changes to our services, legal obligations, or business practices.
Where changes are considered material, including but not limited to changes affecting customer rights, data processing practices, privacy, or core platform functionality, SaaSi Hub will take reasonable steps to notify Customers. This may include providing notice via email or through the platform prior to the changes taking effect.
For non-material changes, such as minor updates, clarifications, corrections, formatting changes, or internal policy adjustments that do not materially affect Customer rights or obligations, SaaSi Hub may update these Terms without prior notice.
Updated Terms will always be published on the SaaSi Hub website and will become effective on the date indicated. Continued use of the platform after the effective date constitutes acceptance of the updated Terms.
26. Assignment
Customers may not assign or transfer their rights or obligations under these Terms without prior written consent from SaaSi Hub. SaaSi Hub may assign or transfer these Terms as part of a merger, acquisition, corporate restructuring, or sale of assets.
27. Entire Agreement
These Terms, together with the Privacy Policy and Data Processing Addendum, constitute the entire agreement between the Customer and SaaSi Hub regarding the use of the platform and supersede any prior agreements, communications, or understandings relating to the subject matter of these Terms.
28. Severability
If any provision of these Terms is found to be unlawful, invalid, or unenforceable by a court of competent jurisdiction, that provision shall be deemed severed from the Terms and shall not affect the validity or enforceability of the remaining provisions.
The remaining provisions shall continue in full force and effect.
29. No Waiver
Failure by SaaSi Hub to enforce any provision of these Terms shall not be considered a waiver of its right to enforce that provision or any other provision in the future.
30. Dispute Resolution
In the event of a dispute arising out of or relating to these Terms or the SaaSi Hub platform, the parties agree to first attempt to resolve the dispute through good faith negotiations before initiating formal legal proceedings.
31. Governing Law
These Terms and Conditions, and any dispute or claim arising out of or relating to them or the use of the SaaSi Hub platform, shall be governed by and interpreted in accordance with the laws of the State of Texas, United States, without regard to conflict of law principles.
Any legal action or proceeding arising under these Terms shall be brought exclusively in the state or federal courts located within the State of Texas. By using the SaaSi Hub platform, you agree to submit to the personal jurisdiction of such courts.
