When an employee leaves your business, their departure, in our opinion should trigger more than just a notification on your HRIS platform, and an update to their payroll records. Their software access and assigned licences to company-paid software also needs attention, ensuring former employees no longer retain unnecessary access and businesses aren’t paying for subscriptions they no longer need.
That’s why we’ve added the new ‘Leaver Activity’ feature to SaaSi Hub’s platform, giving businesses a dedicated place to see what happens when an employee leaves, which licences they still hold, and what needs to happen next.
Leaver Activity helps bring this information together in one place. When an employee departure is detected through a connected HR system, SaaSi Hub identifies the associated software licences that may still require attention, giving teams a clearer view of outstanding offboarding tasks. Rather than relying entirely on manual checks or scattered records, businesses can use this view to understand which departures have been detected and whether the associated licences have been cleared.
Understand What Needs Attention
The new section provides an overview of leaver activity, helping teams quickly understand the current position across their software environment.
Key indicators include:
- Leavers detected: See how many employee departures have been identified, including recent activity.
- Still holding licences: Understand how many detected leavers still have assigned licences requiring attention.
- Exposed right now: View the potential annual software cost associated with outstanding licences if no action is taken.
- Average time to clear: Track how quickly flagged licences are resolved, as activity data becomes available.
Together, these indicators help turn employee offboarding into something teams can monitor and review, rather than a process that depends on remembering to check individual applications. Identifying a leaver is only the beginning. Teams also need to know what happened after the departure was detected.
Leaver Activity includes filters for ‘Everything’, ‘Needs action’ and ‘Cleared’, making it easier to focus on outstanding items or review activity that has already been resolved. This creates a clearer picture of the offboarding process, helping teams identify where action is still needed and distinguish unresolved licences from those that have been dealt with.
It also supports better coordination between HR, IT and Finance. HR can ensure employee records are up to date, IT can review the relevant software access, and Finance can understand the potential cost of licences that remain assigned. Importantly, SaaSi Hub provides the visibility needed to investigate and manage these issues; teams remain responsible for reviewing flagged items and taking the appropriate action within the relevant software applications. Having a clearer view of the potential exposure helps businesses prioritise outstanding tasks and make more informed decisions about their software spend.
Getting Started With Leaver Activity
To support automatic leaver detection, businesses need to connect a supported HR information system, such as BambooHR or Zoho People, and ensure employee departure information is available to SaaSi Hub. Once the relevant connection is configured, the platform can identify detected leavers and surface associated licences for review. The information displayed depends on the connected systems and the data available.
Leaver Activity is part of our wider aim to help businesses understand how their employees, applications, licences and software costs fit together. By bringing these relationships into one platform, SaaSi Hub helps organisations move towards a more structured approach to SaaS management.
Leaver Activity gives businesses a clearer view of what happens after an employee leaves, helping them identify outstanding licences, review potential costs and keep their software environment under control.
